Wildflowers Safeguarding Policy

1. Purpose of the Group

This is a support group for girls aged 9–12, held once a month at a private residence. The group offers a safe and nurturing environment where participants engage in age-appropriate activities such as arts and crafts, walks, group discussions, and cooking. The aim is to support emotional well-being, self-esteem, and healthy friendships.

2. Commitment to Safeguarding
  • The safety, dignity, and well-being of each child is paramount.

  • This group is committed to creating a safe and inclusive space, free from harm, bullying, or discrimination.

  • Safeguarding is everyone’s responsibility.

3. Supervision and Staffing
  • The group is run by Gwen who holds a current enhanced DBS check.

  • The girls will be supervised at all times.

  • No child will ever be left unattended or placed in one-to-one unsupervised situations.

  • Additional adults may support on occasion, but only with prior approval and DBS clearance where necessary.

4. Activities

Children may participate in the following:

  • Indoor crafts and group projects

  • Supervised walks in the local area

  • Cooking and simple food preparation

  • Group discussions and reflective activities

All activities are risk-assessed and planned with age-appropriateness in mind.

5. Health and Safety
  • The facilitator holds appropriate public liability insurance.

  • A first aid kit is available on site.

  • Any allergies, medical needs, or additional care requirements will be collected on registration forms and followed carefully.

  • Emergency contact details will be collected and kept securely.

6. Consent and Communication
  • Written parental consent will be obtained for each participant prior to attendance.

  • Parents/guardians will be given a welcome pack including emergency contact numbers and drop-off/collection arrangements.

  • The group operates a clear arrival and departure protocol: children must be signed in and collected by a named adult.

7. Behaviour and Boundaries
  • Group rules are discussed with the girls to promote respect, kindness, and inclusion.

  • Bullying, harmful behaviour, or exclusion will not be tolerated and will be addressed sensitively and promptly.

  • Children will be supported in resolving conflicts through positive communication.

8. Child Protection Procedures

If a safeguarding concern arises:

  • Any disclosure, concern, or observation suggesting a child may be at risk of harm will be taken seriously.

  • The facilitator will follow national safeguarding guidance, and report concerns to Children’s Services (MASH) or NSPCC as appropriate.

  • Confidentiality will be respected, but not at the expense of a child’s safety.

9. Photography and Social Media
  • Photos will only be taken with parental consent.

  • No photos will be shared online or used for promotion unless explicitly agreed by parents.

  • No mobile phone use is permitted by children during sessions unless for emergencies.

10. Review and Feedback
  • This policy will be reviewed annually or if circumstances change.

  • Feedback from children and parents is welcome to help shape a safe, responsive environment.

Wildflowers Refund and Cancellation Policy

1. Bookings & Payments
  • Payment is required in advance to confirm your child’s place for each session.

  • Spaces are limited, and advance booking helps ensure sessions are well prepared and safe for all attending.

2. Cancellations by Parent/Guardian
  • A minimum of 14 days’ notice (2 weeks) is required for any cancellations.

  • If you cancel with at least 14 days’ notice, you will receive a full refund or the option to transfer the booking to a future session (if space allows).

  • Cancellations made with less than 14 days’ notice are non-refundable, as materials and planning will have already been arranged.

3. Missed Sessions
  • Missed sessions will not be refunded, including due to illness, travel, or other personal circumstances.

  • Unfortunately, due to the nature of the group and limited spaces, we’re unable to offer make-up sessions.

4. Cancellations by the Facilitator
  • In the unlikely event that a session needs to be cancelled by the facilitator (e.g. due to illness or emergency), you will be offered:

    • A full refund, or

    • The option to transfer your booking to a future session.

5. Refund Method
  • Refunds will be issued via the original payment method or as agreed between both parties.
